Project 1: Letterbox Drop – Flyers

  • Lead: Bill
  • Task: Engage with the local community by inviting and distributing flyers throughout key areas, including homes and businesses, to spread the word about the event.
  • Date: 10, 17, 24 November (Sundays after service)
  • Time: 12.00 pm to 1.00 pm
  • Venue: To meet at the front steps of Clayton Church  
  • Team: 12 people

Project 2: The Clayton Windows

  • Lead: Dena 
  • Task: Designing and decorating the windows with festive creativity, including ornaments, lights, and holiday-themed decorations. The goal is to create visually stunning and inviting displays that capture the spirit of the season and delight visitors.
  • Date: Wednesday 27 November
  • Time: 6.30 pm – 9.30 pm 
  • Team: 15 people

Project 3: Sausage Sizzle

  • Lead: Bill
  • Task: Assist with the sausage sizzle, selling drinks, and promoting the Christmas on the Block event. Please come dressed in festive clothes/colours or Love Loud T-shirts.
  • Date: 30 November
  • Team 1: 10 am to 12.30 pm (5 people) (including set up)
  • Team 2: 12.30 pm to 3.00 pm (5 people) (including pack up)

Project 4: On the Ground Buzz – Marketing and Promotion

  • Lead: Pastor Kyle
  • Task: Promote and distribute flyers to shoppers along Clayton Road, at the train station, library area, and other key locations. Dress in festive clothes/colours or Love Loud T-shirts.
  • Date: 30 November
  • Time: 4.00 pm to 6.00 pm
  • Team: 15 people

Project 5: Welcome Crew

  • Lead: Pastor Kyle
  • Task: Create a welcoming and joyful atmosphere while dressed in Christmas clothing, to welcome, mingle and actively connect with everyone who arrives, embodying the spirit of Christmas. Distribute welcome bags and invite people to participate in the online trivia by scanning a QR code.

  • Time: 3.30 pm to 8.30 pm
  • Team: 15 people

Project 6: Trivia Online

  • Lead: Pastor Kyle
  • Task: Develop engaging online trivia questions focused on Clayton’s history, the local community, Clayton Church of Christ i.e. who we are and what we do. Distribute goodies to the first 100 participants who complete the trivia. Ensure the trivia is fun, challenging, and informative, and manage the timely delivery of rewards to keep participants excited and motivated.

  • Team: 2 people

Project 7: Face Painting

  • Lead: Karrie
  • Task: Transform event attendees with creative and festive face painting. Set up and manage a face painting station, offer a variety of designs, and ensure a fun and enjoyable experience for everyone. Engage with children and adults alike, and contribute to the overall festive atmosphere of the event. Come dressed in festive clothes/colours or Love Loud T-shirts.
  • Date: 30 November (plus one practice session after service on Nov 24 at the cafe area)
  • Time: 3.00 pm to 8.30 pm

Project 8: Craft Corner

  • Lead: Connie
  • Task: Create and manage a vibrant craft stall with engaging Christmas-themed activities. Offer a variety of creative options, including Christmas Cards (for colouring in cards, plain cards for decorating and scratch cards for a fun surprise element) and Christmas Ornaments (making crosses and other festive ornaments). Ensure a welcoming environment where participants can explore their creativity and take home their festive creations. Come dressed in festive clothes/colours or Love Loud T-shirts.

Project 9: Carnival Games

  • Lead: Duc
  • Task: Organise and oversee a range of fun and interactive carnival games for all ages. Set up game booths, ensure each game is engaging and well-maintained, and manage the flow of participants. Create a lively and festive atmosphere, encourage friendly competition, and ensure that all games are safe and enjoyable. Come dressed in festive clothes/colours or Love Loud T-shirts.

Project 10: Jumping Castle

  • Lead: Stephen
  • Task: Serve as the main contact for the jumping castle provider to ensure proper setup and pack-up. Monitor the area to maintain safety, and assist with any issues that arise. Create an exciting environment where children and families can enjoy bouncing and playing.

Project 11: Clayton’s Got Talent

  • Lead: Vivienne
  • Task: If you have a special talent you’d love to share—whether it’s singing, dancing, storytelling, or something else unique—we want to hear from you! Please reach out to us at hello@claytonchurch.org.au. This is your chance to engage with the crowd and showcase your skills on stage. Whether you’re part of a group or a solo performer, come talk to us, and we’ll work together to feature your talent at the event. We’re excited to celebrate the diverse talents of our community.

Project 12: Christmas Carols

  • Task: Spread holiday cheer by joyfully singing Christmas carols to create a welcoming and festive atmosphere. Come dressed in festive clothes/colours or Love Loud T-shirt.

  • Task: Assist with food preparation and serving.

Project 15: Set Up Team

  • Lead: Stephen
  • Task: Coordinate and oversee the setup of the event i.e. craft, and face painting stalls, eatery area with tables, chairs and umbrellas, and assist with stage setup.

Project 16: Pack Up Team

  • Lead: Stephen
  • Task: Coordinate and oversee the pack up of the event, ensuring nothing is left behind and event space is left clean and tidy.

Project 17: Bottles 2 Blessings

  • Lead: Nic & Bill
  • Task: Manage and oversee the collection of 10c bottles as part of our sustainability initiative. Responsibilities include setting up collection points, coordinating supplier and volunteers for bottle collection, and ensuring all bottles are properly recorded for recycling. The funds raised from the collected bottles will be directed towards providing Love Loud hampers and meals.
